Labour cost is not the obstacle: hourly labour costs in Poland average around EUR 14.50 against an EU average of EUR 31.80. Judgement is the obstacle. Most companies that fail at this stage fail on the hire, not on the market.<\/p>\n    <p><b>Go through a distributor or local partner.<\/b> Low fixed cost, immediate access to an existing customer base, and someone who already understands the sector. The trade is that you do not own the customer relationship, you see the market through a single filtered view, and if the partnership ends you start again from zero with nothing learned. Distributors also tend to push what already sells, which is rarely the new import.<\/p>\n    <p><b>Use an employer of record.<\/b> This is the option most often misunderstood, and it deserves a longer answer than the other two. An EOR lets you have someone working in Poland without registering your own entity. It is a legitimate arrangement, but Poland has no dedicated EOR statute: the structure has to sit correctly inside existing employment, tax, social security and temporary agency work rules. It works best for what it was designed for, which is short-term market testing, a transitional hire before you incorporate, or a single specialist role.<\/p>\n    <p>Where companies get into trouble is using it for a salesperson. If the person in Poland negotiates prices, discounts or payment terms, or habitually concludes contracts on your behalf, your company can be treated as having a permanent establishment in Poland, with the corporate tax consequences that follow. The EOR label does not protect you, because the tax authority looks at what the person actually does rather than at how the contract is worded. Activity that stays genuinely auxiliary, such as gathering market information or presenting your portfolio, is treated differently.<\/p>\n    <p>We are not tax advisers and this is not tax advice. But we raise it early in every project, because it is the kind of thing that surfaces two years later as an assessment rather than as a question, and because the structure you choose in month one is difficult to unwind in month twenty.<\/p>\n    <p>Our own model sits deliberately outside these options. We have seen a contract signed inside a month and we have seen an equally good deal take most of a year. Averages are useless here because the spread is the whole story.<\/p>\n    <p>What is predictable is not the length but what drives it. Five things decide almost every timeline we have worked with.<\/p>\n    <p><b>Whether the budget already exists.<\/b> A buyer replacing something they already pay for moves fast. A buyer who has to create a new budget line moves at the speed of their planning cycle, which in Poland often means the next calendar year.<\/p>\n    <p><b>Whether the owner has to be in the room.<\/b> In owner-run companies the decision is quick once the owner engages and stalls completely until they do. The bottleneck is their attention, not their interest.<\/p>\n    <p><b>Whether you have a Polish reference in the same sector.<\/b> One credible local reference does more for the timeline than any amount of material. Without one, the buyer is deciding whether to be your first, and being first costs them something.<\/p>\n    <p><b>Whether a tender is involved.<\/b> Public procurement runs on its own calendar and no amount of relationship shortens it.<\/p>\n    <p><b>Whether you replace something or add something.<\/b> Replacing an existing supplier is a comparison, and comparisons close. Adding a new category is a decision to change how the company works, and those take as long as they take.<\/p>\n    <p>The planning consequence matters more than the number. Do not build your hiring and cash plan on the fast case. The cost of being wrong is asymmetric: if the deal closes early you have money you did not need yet, and if it closes late without a plan you are cutting the entry short exactly when it was starting to work. If the person negotiating with you is not on that list, ask who is.<\/p>\n    <p><b>The VAT white list<\/b> run by the Ministry of Finance confirms that a counterparty is a registered VAT payer and lists their official bank account. Paying into an account that is not on the list can cost you the right to deduct the expense, so this check protects you twice.<\/p>\n    <p><b>VIES<\/b> confirms an EU VAT number for cross-border transactions. <b>CEIDG<\/b> is the register for sole traders, which covers a large share of small Polish suppliers and subcontractors.<\/p>\n    <p>None of this replaces judgement about whether a partner is the right one.
